Scope of CPIS Centralized Personnel Information System


The scope of the project is to capture employee profiles as well as office profiles in the CPIS database of all the departments, spread over in the entire state of Jammu & Kashmir. 

It also envisages to keep uptodate information of employees, when they are promoted, transferred or retired etc. It also aims to assign a unique Employee Identification Number to all the employees for future references. Further this CPIS database can be used for electronic service book and GPF.

Need for CPIS Centralized Personnel Information System

The implementation of CPIS is a Flagship E-Governance Application of the Govt of Jammu & Kashmir. It gives a thought provoking ideas to everybody, how to manage personnel information systems in the organization.

It is able to give clear cut information about an institution or of an office, how many posts are created and how many staff is deployed. In short, it can give information about the excess or shortage of manpower in a particular office in a click of the mouse. The system automates the existing system to the best of its utility and reduces time consuming process of compiling information, data etc which are required very often the manual to a maximum degree. It also minimizes the errors out of labour intensive and time-consuming processes.

Benefit of the CPIS Centralized Personnel Information System


1. Finance Department can get the required report of the Employees of a department, office wise as and when desired without wasting much time.

2. Heads of department can generate any kind of report within his department for various analysis such as transfer and posting, Promotion at any time. 

3. They can generate the report from their offices, if the Govt decides to give them the permission to do so from their office rooms.
4. Transparency will be observed in transfer and posting leading to better administration in every department.

5. Effective manpower management will be brought to all the departments.
6. State financial management will be improved.

Guidelines for CPIS Centralized Personnel Information System

The below mentioned guidelines are issued to be followed:
1. Make sure that the forms are authenticated by the DDO only.
2. Always use latest form by downloading from CPIS website.
3. Make sure to enclose necessary documents wherever required.
4. DDO issues LPC after Transfer.
5. List of new Transferred employees will be shown in waiting list section of new ddo login.
6. Supperanuating employees list is available in ddo login.
7. As per direction of Finance Department, J&K it is responsibility of DDO to modify or add new employee data in CPIS system.
8. Since CPIS is intregrated with Treasury/PAO System. So DDO keep updated employee personal and salary details.
9. When DDO transfers to other office it is mandatory to hand over username and password to the successor.

Frequently Asked Questions (FAQs) – CPIS

Q. 1) How to update DDO AG Code, if you found your DDO AG Code is wrong. 

Ans: Send a Letter on the official letter head of DDO addressed to Project Co-coordinator IFMS, NIC-J&K. Mention the correct DDO AG Code and the AG Code wrongly in use. You can also send the scan copy of the letter on E-mail id:cpis-jk@nic.in

Q. 2) How to delete Employee Id, if there exist two or more Employee Id’s. 

Ans: E-mail from the official email Id of the DDO should be sent to E-mail Id: cpis-jk@nic.in Mention both the employee Id’s (correct and incorrect) and suggest which one to delete. 

Q. 3) Unable to locate an employee on CPIS portal. 

Ans: You can search for the employee in Common Pool or Department option available in CPIS Portal. 

Q. 4) How to update Bank Branch Code of DDO/Employee in CPIS. Ans: E-mail from the official email Id of the DDO should be sent to E-mail Id: cpis-jk@nic.in Mention the correct bank branch code of DDO/Employee to update. 

Q. 5) If double entry of Aadhar/PAN number visible for any Employee. 

Ans: E-mail from official email Id of the DDO should be sent to E-mail Id:cpis-jk@nic.in requesting to check the double entry of PAN/Aadhaar. This occurs mainly due to dual employee ID’s created.

Q. 6) How to update DDO designation. 

Ans: E-mail from the official email Id of the DDO should be sent to E-mail Id:cpis-jk@nic.in Request to update the DDO designation and mention the correct designation. 

Q. 7) Issue when DDO ‘A’ wants to transfer his employee to DDO ‘B’ but unable to trace DDO ‘B’. 

Ans: In this case, DDO ‘A’ should transfer the employee in Common Pool. DDO ’B’ should search for employee in Common Pool and import the employee to join under it. 

Q. 8) What to do if Employee not found in Common Pool/department. 

Ans: E-mail from the official email Id of the DDO should be sent to E-mail Id:cpis-jk@nic.in Mention the Employee name and Employee D.O.B. 

Q. 9) Forget Password. 

Ans: Click on the option Forget Password.Enter your DDO AG Code as Username and registered E-mail Id then submit. New Password will be sent to your registered email id. If email id not registered then, send email from the official email Id of the DDO to E-mail Id:cpis-jk@nic.in for registration.
